Overview

The Glen Eyrie Administrative Assistant shall serve the Glen Eyrie Group (GEG) and fulfill the responsibilities listed below in the spirit of The Navigators calling, values and purpose: To advance the Gospel of Jesus and His Kingdom into the nations through spiritual generations of laborers living and discipling among the lost.

 

This position supports two Glen Eyrie Directors: The General Manager and the Director of Operations (with a variety of administrative tasks and responsibilities), alongside serving as the Human Resources Liaison for Glen Eyrie to The Navigators HR Department.

Responsibilities

General Manager Administrative Support – 40%

  • Various project support for General Manager (GM)
  • Schedule and attend GM Team meetings
  • Plan monthly “Gathering” event for 100 people, including Christmas Party for 150
  • Plan Quarterly New Hire Orientations (detailed further in HR section below)
  • Attend weekly and monthly meetings as representation for GM and Dir. of Operations
  • Communicate and coordinate with GM departments as needed.
  • Coordinate meeting scheduling as needed
  • Submit Monthly Expense Reports
  • Generate weekly and monthly Reports for various topics (Net Promoter Score, Month-end Business Review, etc)

 

Director of Operations Administrative Support – 30%

  • Various project support for Director of Operations (Dir. of Ops)
  • Support Dir. of Ops with recurring inspections on an as-needed basis
  • Management of Emergency Response technology
  • Assisting Dir. of Ops with coordinating Flood Response Team
  • Submit Monthly Expense Reports
  • Attend Operations team meetings as needed
  • Communicate and coordinate with Operations departments as needed
  • Coordinate meeting scheduling as needed

 

Human Resources Liaison – 30%

  • Serve as the main point person between Navigators Human Resources (HR) and Glen Eyrie
  • Communicate to Glen Eyrie (GE) leadership regarding various HR projects and issues
  • Maintain HR documents; such as GEG Holiday schedule, Employee Handbook
  • Assist HR Employment Advocate (EA) with GE Onboarding tasks
    • Ensure GE Issued items are distributed to employees
    • Connect with Guest Services to provide key cards to new employees
    • Set up new employees with access and training to Workday and NavOffice (including email access)
    • Coordinate new employee training (Golf Cart, Driver Training, GE Orientation)
  • Complete Offboarding tasks for all GE employees
    • Ensure GE Issued items are returned to GE
    • Upload completed GE Issued items form to Workday worker file
    • Redistribute GE Issued items to necessary department
    • Remove from GEG Staff and ALL Glen email distribution lists
  • New Hire Orientation with General Manager
    • Coordinate schedule of orientation with necessary leadership
    • Communicate with Managers and staff
    • Facilitate a portion of the training
    • Update presentations, as needed
    • Prepare handouts and Orientation homework

 Personal Development

  • Participate in development events such as Navigator on-site events, Cultural Development and Diversity trainings or other non-Navigator developmental events as appropriate.
  • Read spiritually and culturally developmental books and literature.

Additional Responsibilities

  • Prioritize and coordinate Glen Eyrie On-site Housing
    • Determine occupants with the Director of Operations
    • Complete lease agreements
    • Resources housing units in reservations system
  • Maintain the following shared calendars: On Duty (MOD, FOD and EPOD), Flood Response Team, Gathering meetings and Ops Team meetings.
  • Content manager for Glen Eyrie intranet, NavTeams
  • Filter through all donation requests for Glen Eyrie

 

Qualifications

  • Committed Christian with a belief in and adherence to the Statement of Faith and Mission of The Navigators
  • Preferred Bachelor’s Degree in Business of combination of education and/or 3 years of experience as an administrative professional
  • Proficient in Microsoft Office applications (Outlook, Excel, Word)
  • Proficient in Customer Relationship Management software
  • Good verbal communication and people skills
  • Comfortable working in an environment that may have frequent interruptions
  • Ability to multitask
  • Detail oriented. Enjoys managing and organizing detailed work in a way that brings order and efficiency.

 

Compensation Range: $17.19 - $21.49 hourly
